Everything you need to know

Every plan includes all six modules — Jobs, Schedule, Clients & CRM, Quotes, Team, and Collect (AI invoice chasing) — plus the customer-facing Client Portal. Tiers differ by team size, seats, and advanced capabilities (SSO, audit log, API), never by locking core features behind paywalls.
You create your account — name, email, password — and land in your dashboard. A short checklist walks you through adding your first client, creating a job, sending a quote, and (optionally) connecting QuickBooks, Xero, or Stripe. You can be quoting and scheduling within an hour.
Never, by default. Every chase email Claude drafts goes into your Approve & Send queue. You read it, edit if needed, then approve. After you’ve approved 3 chases, autopilot becomes available as an opt-in — it’s never switched on for you.
Yes. You can run jobs, quotes, clients, the team, and the client portal entirely inside Steward with no external accounting tool. CSV import for invoices is always available, and Stripe/PayPal handle payments through the client portal. QuickBooks and Xero are optional sync targets.
We’re registered with Intuit’s developer programme and connected via sandbox credentials, so the integration is fully built and tested. Production approval (connecting to real QuickBooks accounts) needs a separate Intuit review that typically takes 6–12 weeks. CSV import covers you in the meantime.
Steward falls back to your saved templates automatically. Chase emails, visit reminders, and quote follow-ups still draft into your approval queue — just from templates instead of AI. The activity log notes “AI unavailable — fallback template used.” Nothing pauses.
An invoice is counted once per billing cycle the first time Steward sends or queues a chase for it — not per reminder. A single overdue invoice with 1st, 2nd, and 3rd chases counts as one invoice, not three.
Nothing stops. Steward keeps running jobs and chasing invoices. If you exceed your included seats, additional users are billed at $12/user/mo on the next invoice. You can also upgrade tiers at any time.
Yes. Upgrades take effect immediately and are prorated. Downgrades take effect at the start of your next cycle so you keep the capacity you’ve already paid for.
Annual plans bill up-front at roughly 15% off the monthly rate. Cancel within 30 days of starting an annual plan and we refund the unused portion in full. After 30 days, the plan runs to the end of the term and won’t auto-renew if cancelled.
Additional seats are billed once at the end of each cycle, on the same invoice as your base plan. A running seat meter in Settings shows current vs included so there are no surprises.
14 days is enough to run real jobs, send real quotes, and approve real chase emails. A longer trial also increases AI API costs we’d rather not bake into your subscription. Need more time? Email us — we’re flexible.
Steward runs as a mobile-optimised web app today — technicians open today’s jobs, mark on-site/complete, capture photos, and collect signatures from any phone browser. Native iOS and Android apps are on the roadmap.
Each job has a shareable link — no login required for your customer. They see live status (Booked → Confirmed → On-site → Complete), the assigned technician, can approve quotes in one click, pay invoices in-portal, and request new work. You stay in control of what’s visible per job.
No. Steward sends polite reminder emails from your address — it is a communication and job-management tool, not a debt collection agency. It does not add interest or charges, does not contact credit agencies, takes no legal action, and provides no legal or financial advice. Escalating disputes requires separate professional advice.
