1. What Collect by Steward AI Does
Collect by Steward AI is a software-as-a-service product that helps small businesses send polite, professional payment reminder emails to their clients for overdue invoices. Specifically, the Services:
- Draft reminder email suggestions using Anthropic's Claude AI, based on invoice data you provide
- Present those draft emails to you for review and approval before any email is sent
- Send the approved email from your business email address via Resend, on your behalf
- Track invoice status and remind you to follow up on outstanding amounts
- Embed payment links (via Stripe or PayPal) in emails so your clients can pay quickly
2. What Collect by Steward AI Does NOT Do
The following activities are outside the scope of the Services and are not performed by Steward AI under any circumstances:
- Collect does NOT act as a debt collector or collection agency as defined by the Fair Debt Collection Practices Act (FDCPA) or the Rosenthal Fair Debt Collection Practices Act (RFDCPA)
- Collect does NOT contact credit bureaus, report unpaid debts, or affect your clients' credit scores
- Collect does NOT add interest, late fees, penalties, or any charges to outstanding invoice amounts
- Collect does NOT initiate or threaten legal action, wage garnishment, or asset seizure of any kind
- Collect does NOT negotiate debt settlements or payment plans on your behalf
- Collect does NOT provide legal representation or legal advice
- Collect does NOT provide financial advice or guarantee that any invoice will be paid
3. You Are the Sender
All emails sent through Collect by Steward AI are sent from your business email address, on your behalf, after your explicit review and approval. You are the sender of record for every email sent through the Services. You are solely responsible for:
- The accuracy of invoice data you upload to the Services
- Ensuring that reminder emails comply with applicable laws in your jurisdiction and the jurisdiction of your clients
- The tone, frequency, and content of emails you approve and send
- Any dispute, complaint, or legal claim arising from emails sent to your clients
4. Escalation Beyond Reminders
If a client fails to pay after multiple reminder emails and you wish to escalate — such as instructing a collections agency, filing a claim in small claims court, or pursuing other legal remedies — that is entirely outside the scope of the Services. You should consult a qualified attorney or licensed debt collection agency for guidance on legal escalation.
5. CAN-SPAM and Email Law Compliance
The reminder emails sent by Collect on your behalf are transactional communications regarding outstanding invoices — they are not marketing emails. However, you remain responsible for ensuring that your use of the Services complies with:
- CAN-SPAM Act (United States)
- CASL (Canada) — if you have clients in Canada
- GDPR (European Union) — if you have clients in the EU
- Any other applicable email communication or consumer protection law in the jurisdictions where your clients are located

Nothing in these Services, this disclaimer, or any communication from Steward AI or Steward Labs LLC creates an attorney-client relationship. We are a software company, not a law firm.
